A QUICK OVERVIEW..........

This page is to assist in the development of the auction catalogue and volunteer worksheets.  Please fill in the form provided below for each lot.  Wayne and myself are committed to making this work out and have agreed to be very accomodating for the first couple of auctions as the minor issues get worked out and members become aquainted with this process.

 

Members are each permitted upto 20 lots, however, if there is a shortage shortage members will be notified (maximum of 400 lots total). 

 

 

Members are also invited to submit images which will be used to help develop a virtual catalogue and for marketing potential.  These elements will be used on the webiste proper and will be accessible in the production of a vuirtual catalogue be forwarded to ALL OPS members and "Friends of the OPS" Clubs.

STEPS TO FILLING OUT THE FORM....

STEP 1 : FILL IN THE FORM

 

Here you will need fill in as many blocks as are relevant.  Blocks with "down arrows" will give you a drop down menu of choices.  If these do not work with your item, please select "OTHER (see description)".  For the description box, it will expand in size to accomodate a full description.  Boxes with red stars (*) are mandatory. You can not enter information in the three boxes at the top of the page.

 

STEP 2 : "PRINT" the FORM USING BUTTON AT BOTTOM of FORM

 

At the bottom of the form is a "PRINT" Button.  This will print the lotting sheet which you will use to accompany your lot at the night of the auction.  No need to write out forms by hand, however, this option remains open (using the old auction forms) but you will need submit the information electronically or in the spreadsheet provided at the club.

 

STEP 3 " "SUBMIT" the FORM by CLICKING the SUBMIT BUTTON at BOTTOM of FORM

 

Once you have filled in the boxes and printed the form you should proceed to click the "SUBMIT" button, also at the bottom.  This will forward your information electronically to be used for the auction catalogue.  If you noticed that you had made a mistake, you can either send an e-mail OR resubmit the corrected elements only and write in the description box "CORRECTIONS as noted".  Once you hit submit, the form will appear to disappear and you will need refresh the page or click backwards.

 

STEP 4:  INFORMATION WILL APPEAR IN BASIC TABLE BELOW the FORM

 

A rough catalogue will begin to appear below the lotting form.  This will allow others to see the auction content in advance.  A full detailed auction catalogue will be provided electronically leading up to the auction AND a one-page auction bid sheet will be provided the night of the auction.

 

NOTE: LOT NUMBERS WILL ONLY BE PROVIDED SEVERAL DAYS IN ADVANCE OF THE AUCTION ONCE ALL LOTS HAVE BEEN RECEIVED. 

 

 

IF YOU MAKE A RANGE OF MISTAKES YOU CAN CLICK "CLEAR FORM" BUTTON AT BOTTOM OF THE FORM TO CLEAN THE PAGE AND RE-ENTER THE INFORMATION .

OCTOBER 20th CATALOGUE ITEMS LISTED TO DATE.....

Catalaogue lot numbers will be provided once electronic submission deadline has closed (Sunday, October 16)

 

 

• That the following Proposal on Auctions be adopted:

 

  1. Create an easier to use online form to collect information and generate an virtual catalogue. This form would mimic our current auction lot sheets (the yellow ones) and be printable directly from the website by the user. This will clean up many areas and move us away from needing to print blank sheets.
  2. Explore the option of individual volunteers to help enter listings and/or "train" other OPS members directly at the club, by making computer/printer available on select evenings.
  3. Provide online marketing incentives to encourage members to submit auction listings well in advance of auction deadlines.
  4. Allow for a higher volume auction - Suggested 20 lots/seller, following approval by auction coordinator/auctioneers.
  5. While online submissions are perferred, provisions would be made to allow for "walk-in" lots to go at the end of the auction tables - but within the numbers allotted. (table space)
  6. Lots determined to be "oversized" would be granted select space.
  7. Auctions will be presented in real time on a computer screen on the auction evenings.
  8. The auction results will be recorded electronically and on paper.
  9. A computer printout of purchased items would be provided to each buyer.
  10. A sold list/payout/unsold lots would be presented to the sellers on the evening of the auction as both a convenience and to provide broader logistical support to the volunteers (ie no unsold lots picked up until the lots have all been paid/accounted for).
  11. Move away from a physical catalogue to a virtual one while maintaining a convenient cheat/bidder sheet on the night of the auctions.
  12. Provisions be made to allow for unsold auction lots to move directly into the OPS online market.
  13. Reconfirm that issues surrounding "implementation" and "strategies" would be left to the Auction coordinator to resolve.
  14. Make efforts to employ this same system for Miniex. This will allow for marketing of select items well in advance while allowing for greater investment and cooperation by the users and volunteers.
  15. Continue to explore the viability and logistics of hosting a larger scale public auction and/or a virtual auction through eBay.

 

• With respect to the auction forms to be used it was agreed that a single form would be used for all lots, that this form will be available electronically on the website, and that where necessary the OPS will once each year supply each member with one hard copy of the form.
